Manifold is a shared workspace and community for people who want workdays that look and feel better. From founders and freelancers to remote teams and growing companies, our spaces support a wide range of working styles. In addition to coworking, we host events, meetups and social gatherings that bring our community together. We have two locations in New Plymouth and Ōakura and a range of offerings from drop-in hotdesking to private offices, we also have several meeting room offerings.

Someone who’s curious about how companies are run, how people collaborate, and what makes a great workday. The Operations Coordinator supports the rhythm of the space - greeting members, solving problems, helping events come to life, and making sure the environment feels both functional and warm.It’s a role that offers exposure to business owners, startups, and a constantly changing mix of industries. This is a 20 hour per week role with the primary hours being 9am – 1pm Monday - Friday and will require some flexibility to work additional hours for after-hours event setup and management. The hourly rate will be $29-$35/hour depending on experience (plus KiwiSaver). The aim is to transition this role to a full-time role in time.

‍Key Responsibilities and Tasks
‍The role is responsible for the overall operations, member experience, and community engagement.

Operations and Space Management

• System Setup & Maintenance: System setup, management, and fixes (including member management software), data entry, upkeep, and management of memberships and bookings.
• ‍Maintenance & Upkeep: Daily walkthrough and tidying, preparing meeting rooms, coordinating maintenance, and minor equipment troubleshooting (Wi-Fi/printer).
• ‍Inventory & Supplies: Space supply purchasing, monitoring, inventory management, supplier setup, ordering, and restocking.
• ‍Compliance: Health & safety system management and contracts.
• Sales & Strategy: Support with sales waitlist management, supporting quarterly planning and market research.

Member Experience and Communication

• Support: Member onboarding, support, and problem-solving, including welcoming members daily and managing Member Check-ins and Exit surveys.
• Sales: Support owner with new enquiries and tours.
• Communication: Non-routine emails, and managing internal and external newsletters.

Events and Content

• Events: Events design, logistics, and marketing (with support).
• Content: Contribute to and create social posts & website content.

What You'll Bring (Requirements & Skills)

• Experience: 3–5 years of experience in administrative or operational roles in coworking, hospitality, retail, or a relevant industry.
• Operational Excellence: An understanding of operations, with a heightened attention to details and the ability to triage important information.
• Technical Proficiency: Proficiency in a range of software and digital tools (Google Worskspace, email marketing, image creation, document preparation and storage, etc.) is essential. You also have the ability to learn new systems quickly and it’s an asset if you have experience with Office RnD.
• Communication: Exceptional written and verbal communication skills, capable of preparing communications for different audiences.
• Soft Skills & Initiative: Empathy, a warm, engaging, and outgoing manner. You are the glue of the community, conscientious, responsible, and willing to take initiative to get things done.
• Organisation: A keen sense of organisation and effective time management. You can hold your team members accountable in a kind and supportive way.
• Experience in marketing and/or social media paid advertising is a bonus.
